Executive Coordinator

Rupi Kaur is hiring an Executive Coordinator to assist her in running the operational heart of her business, as it pertains to publishing, touring, digital media, and brand partnerships. 

The role is hands-on: you live in the inbox and calendar, while also holding the bigger picture. As emails, requests, and follow-ups come in, you log them, handle the routine, keep the rest moving, and tee up what only Rupi can decide.

You report to Rupi directly. The right person is deeply organized, discreet, steady under pressure, and committed to following through.

The Work

Communications and Point of Contact 

  • Be the trusted point of contact for Rupi, the team, and external partners on all logistics and follow-up. Confirm timelines, log tasks, follow up on what is owed, and send any necessary recaps.
  • Handle scheduling and keep Rupi’s calendar organized as requests for her time come in.

Tracking the Verticals

  • Own the trackers and timelines across different verticals like publishing, performance, music, digital, and partnerships, and flag slippage early.
  • Stay copied on key threads so you always hold the current state of things, keep communication moving between people, and close the loop on open items.
  • Do research on different topics and areas Rupi is exploring

Logistics 

  • This role will sometimes extend into Rupi’s personal life: making calls on her behalf, helping with errands and appointments, and smoothing the practical details of daily life.
  • Handle travel when it comes up: flights, hotels, itineraries, and check-ins.

  • Steady. Plans shift often. You can keep calm under pressure, and move through change with ease and agility 
  • Self-motivated. Rupi keeps protected creative hours and is not always available in real time, so you are comfortable carrying the day forward on your own and knowing what to bring to her and when.
  • Open to evolving how we work. You are curious about better systems and tools, and you enjoy helping shape a role and a company that is still taking form.

Experience

  • 3 to 5 years minimum supporting a senior executive, founder, or public figure, or in an executive assistant or operations role.
  • Experience in entertainment, media, publishing, or another creative or public-facing environment is a plus.
  • Comfortable operating across both creative and business contexts.
  • Based in North America, with full professional fluency in English.

Details

  • Full-time.
  • Remote within North America, with a preference for Canada or the US.  Occasional travel may be required.
  • Core working hours in Eastern Time.
  • Compensation: commensurate with experience.
